Terms Terms & Conditions for Fit Shape personal training members
These terms and conditions are entered into and between FIT SHAPE Ltd (hereinafter: “Fit Shape”) and You (hereinafter: “the Member”).
Getting started at Fit Shape:
Everyone begins with a free consultation, either by phone or in person at Fit Shape Muswell Hill.
The consultation lasts about 10 to 20 minutes.
We provide three suggested times for the consultation. Once you choose a time, we schedule it in the coach's diary.
The free initial consultation aims to answer questions and discuss current health and fitness levels, goals, and how we can help. After this consultation, we typically invite new clients for a paid one-on-one health and fitness assessment. Alternatively, they can begin with small group personal training.
Membership not sessions
Personal Training and Small Group Personal Training are delivered through a membership system and are paid for by monthly subscription. Members can cancel any time with 30 days notice.

membership fees are payable even if you do not use the in-person personal training service as they would be with any gym membership.

The total amount you pay each month is determined by the specific membership package that you have chosen to enroll in.

Equivalent to £24 per session for gold membership. (3 p/week - £290 p/month)
Equivalent to £27 p/session for silver membership. (2 p/week - £215 p/month)
Equivalent to £30 p/session for bronze membership (1 p/week - £120 p/month)
For all new members from 17/9/24 and present members from 1/3/25
One to one personal training membership
45 min - 60 min
Equivalent to £65 per session for gold membership. (3 p/week - £765 p/month)
Equivalent to £70 p/session for silver membership. (2 p/week - £550 p/month)
Equivalent to £75 p/session for bronze membership (1 p/week - £290 p/month)
For all new members from 17/9/24 and older members from 1/3/25

Membership fees increase every year in line with inflation
Membership cancellation
Membership can be cancelled any time with 30 days written notice either through our in app messaging system or by email to info@fitshape.co.uk
Appointment Cancellation policy
If you can't attend your usual training session, please let us know 48 hours in advance so we can rearrange. To make up for a missed session, you need to do so within 14 days of the missed date or before the next scheduled date. You can reschedule up to 2 times for each missed appointment within the 14-day period. You can also replace missed personal training sessions with online workouts, solo gym workouts, or cardio classes. All replacement workouts must be completed within 14 days before or after the missed session.
Appointments missed due to illness / injury
If you miss a personal training appointment due to illness or injury, you have one month to reschedule. You can have a family member attend for you, join a group class, or do an online workout. We offer up to two alternative slots for each missed session within this 30-day period. After one month, there are no replacements or refunds.
Appointments missed due to non illness / injury reasons
If you can't make your usual training time, please give us 48 hours' notice to reschedule. Not doing so will result in losing that session or class. You can reschedule a missed session within 14 days after the original date or up to 14 days before. Fit Shape will provide up to 2 options for replacing each missed one-on-one session within these two 14-day windows. The new times may differ from your usual schedule. If you can't attend the offered times, you have the option to use the app for an online workout, work out solo at our gym, join cardio conditioning classes, or have a family member take your place at the missed session. There are no replacements or refunds after the two 14-day windows.
Training appointment times
Clients are encouraged to keep their scheduled training times each week. We recommend having the same personal training appointment each week.
How to Book personal training Appointments
Your training times will be set at the start of your program. All appointments need to be booked and confirmed through the Fit Shape App or by emailing info@fitshape.co.uk.
Member Belongings in Gym
We prioritize your safety and the safety of your belongings but are not responsible for lost or stolen items. Please stay alert and avoid leaving items on the floor or gym equipment. Store coats and bags on the wall shelves.
Equipment and Facilities
We keep our equipment and facilities safe and clean. Please let us know if you notice any cleanliness or functionality issues. All group training members must put away equipment like dumbbells and wipe down machines after use. This doesn't apply to one-on-one sessions.
Your Fit Shape / Your Coach
The PT appointment is always with Fit Shape Ltd, not a specific coach. The coach you meet may change each week.
Clothing
Wear what feels comfortable, as long as it allows you to exercise safely. Most women choose leggings and a shirt, while most men prefer long shorts or loose pants and t-shirts. It's important to have safe, clean shoes; flip-flops or sandals are not permitted.
Photographs / video
Fit Shape might take pictures for tracking progress or marketing. We never display members' names in videos or photos without their permission. Let us know if you do not want to be included in any pictures or videos.
Equipment / facilities
We will make every reasonable effort to make sure that our equipment and facilities are in a safe and clean condition for your use. Please do not hesitate to point out any issues with cleanliness or functionality of our premises and equipment
Equipment use
Tidy away equipment after use and wipe down machinery with a wipe and towel. Do not make excessive noise, grunting, shouting, clash weights, drop weights onto flooring, or mistreat equipment.
Mobile phone use in the gym
Please, try not to use your phone when doing one to one or semi private personal training at Fit Shape appointments, we would prefer if your phone was on ”do not disturb” and your focus was on your training and possibly addressing goal relevant issues like nutrition, recovery and progress
Punctuality guidelines
Members should arrive on time for their appointments—neither too early nor late. Being on time shows respect, which is important to our culture. If your trainer is over 15 minutes late, you will receive a free session in addition to any remaining time for that appointment. If you are late, your session will be shortened accordingly. Arriving more than 20 minutes late may result in cancellation of your session, with no refund provided.
How to contact Fit Shape as a member
Contacting Fit Shape must always be done through our private in app messaging service and never direct to any individual coach, this way you can message any time without infringing on someone's personal time and we keep a record of communications to avoid any misunderstandings or crossed wires
Your Fit Shape / Your coach
Gone are the days of “my client” or “my trainer” Your PT appointment / contract is always with Fit Shape LTD and a representative Fit Shape coach who will facilitate the appointment the Fit Shape way tailored to you and your programme. We prefer our members trust their process and not place their trust in 1 individual trainer
Basic manners
Avoid using offensive language during training. Keep noise to a minimum when lifting weights. Please clean all equipment after use and return it to storage.
Fit Shape Terminology
We call those who join us "members" instead of "clients" and refer to our "trainers" as "coaches." Instead of "weigh ins," we check your "numbers" or "body composition." Instead of focusing on "weight loss," we focus on "fat loss."
Consumer Data Privacy Policy
Fit Shape respects your privacy and we promise to maintain the confidentiality of all your personal information. We hold email addresses and phone numbers so that we can contact you and under no circumstances do we disclose or sell this information to others.
